Music playlists and schedules

Written by Daniel Mylotte

This long article is optimized for AI ingestion. Use the table of contents (at right in page view, dropdown above in chat views) to focus on the sections that are relevant for you instead of scrolling.

CHANGING SITES

Choose a location to make changes to with the "CURRENT SITE" selector.

Any adjustments made will now apply only to the selected site.

CHANGING APPS

On desktop screens you'll see a left sidebar of icons to select from available apps (Studio, Music, Display, Rock and Roll Bingo, etc).

On mobile screens the app selection is done with the "CURRENT APPLICATION" dropdown at the top of the sidebar.

The following menu items may be available (subject to your organization's policies applying to user access - many customers will limit access to only some of the following options, which is beyond Startle's control - therefore only some of these options may be visible):

  1. Overrides (temporary changes which override your weekly schedule)

  2. Schedule (offering multiple hierarchical instances of your 24/7 music schedule)

  3. Playlists

  4. Play History (recently played music)

  5. Music Settings (venue open/close times; explicit lyric filter)

  6. Copy

VOLUME, SKIPPING, BLOCKING

Skip/block buttons and volume slider are located on the Dashboard page in the Now Playing section at the top.

OVERRIDES

Overrides allow temporary departures from scheduled music. On the overrides page, create a new Override using the red "+ New Override" button at top right.

Give the override a name and choose one from the following timing options:

  1. Start now and end in ________ (choose from the duration dropdown)

  2. Start today, end today (set the future start and end times for the current day)

  3. Date range (pick the future dates and times of start/end)

Choose a playlist to use. There are separate menus for your playlists and Startle's playlists. Make sure to save.

SCHEDULE

The weekly schedule is the heart of the background music app. Here you will set up the permanent music selections for the venue by creating event blocks much like a calendar app. Each block represents a different playlist selection, using either Startle's Playlists or your own custom playlists.

NEW: you can now have multiple schedules that act like overrides by replacing the "default" schedule with a completely separate schedule which will be active for a set range of dates, or by manually setting it as the active schedule. This allows for things like Christmas schedules which can be set without overwriting the normal music and can be automatically reverted at the end of the holiday season.

Set up your weekly default schedule

You will always have at least the default weekly schedule which will be active in the absence of any added active schedules or overrides.

Create playlist events

Click and drag in an empty area of the schedule grid to create a new playlist event. Alternatively, you can click the red "+ Add Event" button at top right of the schedule grid. The "Create Event" sidebar will appear on the right.

Under "Playlist Type" is a selector for whether the Playlist dropdown will show your custom playlists or Startle's playlists. Choose a playlist from these options and set the event's Start and End times as necessary. Press Save at the bottom.

Drag to copy sideways

You can duplicate the event to other days by dragging. Hover over the side edge of the event to make the handle appear and drag to the side to copy. If the destination days are not empty you will be prompted whether to copy the new schedule over the top of existing events, or just fill in any blank areas.

Drag to move/lengthen/shorten

Click the middle of an event and drag to move it on the grid.

Change the length of events by sizing them on the grid. Hover over an edge to see the edit handle. Drag the top or bottom edge to change event lengths.

Delete events

Click an existing event. At the bottom of the right sidebar is a Delete button.

BLANK AREAS: if you leave part of your schedule grid blank this DOES NOT indicate silence/stopping music. The system is designed to keep music playing under the assumption that blanks might be a mistake. The system will simply revert to a default playlist in blank areas (your playlist page will always have a default playlist so it's a good idea to make sure it contains something appropriate for your venue).

If you do want to silence the device you can do this by putting it to sleep overnight (Standby Schedule) or by scheduling the Silence playlist.

Additional schedules

At the top right corner of the schedule grid you'll find a "3 dots" button to the right of the red "+ Add Event" button. Click this to access the schedule controls.

You'll see the following options:

  1. Make Active (activate the schedule that's currently selected in the left sidebar)

  2. Edit Details (change the selected schedule's time range, name, etc.)

  3. New Schedule (make a new, empty schedule)

  4. Duplicate Schedule (make a copy of the selected schedule)

  5. Delete Schedule (delete the selected schedule - not available for the default schedule)

Create additional schedules

Generate an added schedule using either New or Duplicate Schedule options. You can now fill out the schedule with playlist events as needed.

You WILL NOT hear this schedule until it is both a) the active schedule and, b) within any date ranges you've set for it. A green dot will appear next to the active schedule in the left sidebar. A stopwatch icon will appear for playlists that are queued for a future date.

Viewing the schedule timeline

From the Edit Schedule popup, click "View Schedule Timeline."

Here you can see a Gantt style chart for the upcoming period that shows any schedules you've activated.

Master schedules

Master schedules are used for large scale changes to EVERY SITE within a customer account. Startle will need to designate a single site as the master. Once this is done, the master site will have the option of controlling all other music within that customer account by setting a master schedule. Typical usage of this feature is for company-wide holiday or other timed changes to music that will not require destructive copying, and are automatically reverted to existing schedules when complete. Contact Relentless Support for more information.

Using the Master schedule all the time

If every venue in your account is always identical AND site-level users will not have access to schedule changes (overrides are still allowed) then the Master schedule offers some advantages to the standard source>copy approach to propagating music settings to all sites. Talk to Relentless Support about setting this up if you're sure that every location will always be identical.

Activating a Master schedule

Start by locating the Master stream on the account by its black badge

Select this site and navigate to the Schedule page.

The default schedule on the master site can't be set as the master. A second (or duplicate) schedule must be created first.

Click the three dots menu at the top right of the page and select either "Duplicate" or "New" schedule.

If it's a new schedule you can name it, set it active, and set it as Master right there in the dialog. All future edits to this schedule will flow directly to the other music sites on the account without requiring a copy.

If the new schedule was from duplication, select it now in the sidebar under the Default schedule. Then back in the 3 dots menu choose "Edit schedule" to pull up the details panel. Here you can also choose a date range for it to be active if necessary.

Row Controls

At top left of the schedule grid is a button for "Row Controls."

Here you can hide any empty time slots (each row is 15mins) that you don't wish to view, thus shortening the amount of scrolling necessary to reach your active schedule times. Check a box to hide an empty row. Or click "Hide all blank rows."

PLAY HISTORY

The Play History contains a chronological log of recently played songs showing the name and time, with buttons for 1) previewing the song, 2) blocking the song from playing again, and 3) reporting the song for containing unflagged explicit lyrics. Please do not use the report button as a "thumbs down." It should only be used to alert us to offensive language which was not previously flagged.

PLAYLISTS

At the top of the Playlists page are options for

  1. Search playlists

  2. Sort the results by name, date, artist count, track count

  3. Change from grid to table view

  4. Create a new playlist from scratch

Playlist operations

Each existing playlist has a "three dots" button (bottom right corner in grid view, far right in table view). Here you can find actions for:

  1. Preview

  2. Edit

  3. Set as Default

  4. Copy to site..

  5. Create override from playlist..

  6. Set override restrictions..

  7. Delete playlist

The Preview page

Previewing a playlist displays playlist details at the top

Here you can see

  • total tracks

  • block buttons for each track and a highlight if the track is currently blocked (click to unblock)

  • number of Startle's playlists that are bundled in

  • dates created and modified

  • whether it is in use (currently used in a schedule event)

  • the total length in minutes

And can take the following actions

  • Play all previews (start the playback of every song's 30 second preview using the green button top right)

  • Play single song previews (scroll through the song list - hover over the song number at left to see the song preview play button)

  • Under the "three dots" menu top right:

    • Edit: make changes to the songs included

    • Download as CSV: get a spreadsheet of this playlist

The Edit page

On the left of the playlist editor you'll see some quick stats and also adjustments for editing the playlist's name and highlight color (as shown on the weekly schedule). Any changes made to the details or the music selections will have no effect until the Save button is clicked at bottom left.

At right are under "Current Playlist" you'll build your new playlist. You can do this by generating suggestions, bundling Startle's playlists, or searching for individual tracks.

"Constituent Playlists" are the bundled Startle playlists already included (you can select up to 9). Toggle between "Startle Suggests," "Browse Playlists," or "Search Tracks" to change the view from Startle playlists to the single track search or Spotify playlist matching.

Startle Suggestions

Enter a descriptive prompt for the music you'd like, or paste a Spotify playlist URL and click the "Suggest" button. The system will return suggestions for the closest matching Startle playlists (with its justifications for why they were chosen).

Click the green "Add" button on any of the playlist results to add them to the Constituent Playlists.

Note that Spotify doesn't allow their own playlists to be used for any external purposes and will be rejected by the tool. If the playlist creator shows "Spotify" you won't be able to use it here.

Browse playlists

Here you'll find an alphabetical list of all Startle's curated playlists.

Note that these options may be different for all customers. Your brand controls what Startle playlists you have available.

You can filter the playlists by name using the search bar at the top of the grid. Play previews of each playlist by hovering over its thumbnail and clicking the Play button.

To add any of these Startle playlists to your custom playlist (up to 9) click the red "Add Playlist" button. It will now be included at the top where you can use the slider to set this selection's weight relative to the other included lists. Playlists are weighted on a scale of 1-100. Note that this is simply a relative balance of one list to another, and does not require that you manually set them to total 100.

Playlist Preview

While browsing Startle playlists, click the cover art square to start audio previews for the included songs. Playback controls appear along the bottom of the window.

At the right of the controls the "list" icon will open a playlist sidebar where you can scroll and preview (30s) any song in the playlist.

Search Tracks

Switch from "Browse Playlists" to "Search Tracks" and you'll see a single search field. Here you can type simple titles but you can also specify in detail using Lucene syntax as noted in the prompt shown below the search field:

Examples: artist:"Queen", track:"Bohemian Rhapsody"

Search results will appear below. Click the red "Add" button to add these to the playlist as individual tracks.

Playlists do not save changes unless the "Save" button is clicked. Scroll all the way down to see this button on the left section.

Set as Default

The "Default" playlist is the playlist that plays when the schedule has an empty space. It's important to know that empty schedule spaces are not silent. They will play the default playlist. This is to prevent music going off due to user error. Use "Set as Default" to change your default playlist to the most suitable general option.

Copy to site..

Use this to copy this playlist and this playlist only to another site you have access to without copying any other playlists, schedules, overrides, or blocks.

Create override from playlist..

Use this to jump immediately to setting up a new override with this playlist already selected.

Set override restrictions..

Use this to limit the time of day when a playlist can be scheduled for override.

MUSIC SETTINGS

Explicit lyrics

Here you can set one range of time where explicit songs will be blocked every day. To always block explicit lyrics, select 00:00 to 23:59

Interactive

Here you have some switches and settings for the Interactivity (customer requests) add-on.

Background Music

Unchecking the "Play Background music" box changes the device to "Jukebox mode," meaning music will only play when your customers make interactive requests.

Site Functionality

Selecting "Disabled" will turn the interactivity request option complete off and prevent requests from being made.

You can limit customer requests to only music that is already in your custom playlists to have more control over what music is played by request. Check "Only allow requests from the background music playlist."

Request Limiting

Here you can create limits for how many requests a single customer can submit, and how many songs by a single artists are allowed to be requested at once.

COPY

To duplicate one site's music settings to other sites, use the copy function. For large accounts it's possible to achieve complicated combinations of destination sites using text and tag filtering.

Copies are DESTRUCTIVE. Once a copy has been made to a site, the site's previous music settings are gone forever. There is no undo feature, and no possibility of recovery.

Best practices

If you are routinely creating multiple music profiles inside a single account it's helpful to use tags to provide clear distinctions between different site categories. See the Tags section of the Studio page. Not only do the tags provide visual feedback in site lists but they simplify the process of selecting copy destinations.

Making selections

At the top of the Copy page you'll find both search and tag filters. Use these to refine the list of destinations sites as needed. You'll now have the option of selecting individual sites using the checkboxes in their corresponding rows, or you can use either "Select All" boxes at the top of the list to either a) "Select all on this page" or, b) "Select All" meaning this page and all subsequent pages.

Confirm and copy

When the desired selections are made, click the green button at top right "Copy to selected sites" to proceed to the confirmation dialog. Here you'll be presented with a summary of the copy operation that you can scan for assurance that your selections were correct.

NEW: You can choose to exclude Music Filters (blocked songs) from copying. This is the default behavior and is generally the desirable choice. In many cases the destination sites will have their own preferences for blocked songs, and including Music Filters in the copy would overwrite these destructively. Leaving the box unchecked will preserve the site's unique blocked songs list.

Finally, click the copy button to launch the copy.

Next steps...

The copy procedure runs multiple operations in the background which happen in series and can take substantial time to complete, depending on the size of the list of destination sites. The player hardware is then notified of its new instructions and may also need to download audio, which is queued up in the next available song slot (if there are changes to what is playing "right now"). Therefore you could have a wait of 10-20 minutes for large copy operations to be reflected in currently playing music.
